Set Up Your Machines
Log into your dashboard and add each piece of equipment, vehicle, or machine. Enter the name, type, serial number, and set the service interval. It takes about 30 seconds per machine.
You can add machines one at a time or import them in bulk. Set service intervals (e.g., every 250 hours, every 3 months) and the system will track them automatically.
Print QR Codes
Each machine gets a unique QR code. Print them out and stick them on the machine — laminate them for workshop conditions. When a mechanic needs to log a service, they just scan the code.

Mechanic Scans the QR Code
When it's time to service a machine, the mechanic pulls out their phone, opens the camera, and scans the QR code. The service log form opens instantly in their browser — no app downloads, no passwords.

Fill in Service Details with Voice Dictation
Select the service type, record the hours/kilometres, and use voice dictation for the service notes. Tap the microphone, speak naturally, and the notes are transcribed automatically. Perfect for greasy hands.
Record condition before and after, note any parts used, add safety observations, and select the overall service outcome. The form is designed to capture everything an auditor would want to see.
Snap Photos of Work Performed
Take photos of the completed work, replaced parts, wear patterns, or receipts. Photos are captured directly from the phone's camera and automatically attached to the service record. Multiple photos supported.
Photos are compressed automatically to save storage while maintaining enough quality for audit evidence. They're included in the PDF report.
Submit — PDF Report Auto-Generated
Hit submit and you're done. The system automatically generates a professional PDF report containing all the service details, photos, and observations. The report is emailed to nominated management contacts instantly.
